Pan Macs,

With the commitment you all showed last night, I’m sure the event will be a huge success for us. 

Please find attached the Paniyiri Kit with all the information.  I believe we also need to get approval for participation from the Paniyiri Committee.  I will contact them today and send everyone some more information tonight. 

Also, can you start thinking about the following:

Names and mobile phone numbers of volunteers who can help.  I will design a roster (maybe in 2 or 3 hour shifts) and we will allocate people to these times.  If they don’t turn up, it is the responsibility of the person who put them forward to replace them. 

Potential sponsors.  We will need to decide on a price for sponsorship.  Maybe we have 3 levels, Platinum, Gold and Silver.  Platinum can be $1000 and we will limit this to 2 sponsors.  Gold will be $500 each and we will limit this to 4 sponsors and Silver will be $250 and we can limit this to 6.  Each level will get a logo printed on our shirt with the largest logo being platinum and down to 6 smaller ones.  That’s a total of 10 sponsors.  That’s also a total of $5,500 if we can successfully get these sponsors on board.  Also, we will need to decide on how many shirts we need and what sizes.  I will organise some samples unless someone has a contact in the industry. 

The sponsorship amounts are just a guide and at our next meeting we will have to decide on amounts.

Paniyiri Sponsorship Letter & Minutes

Team,

Please find attached minutes of last nights meeting (many thanks to George Karakatsanis) and a draft of a letter for potential sponsors. 

As part of our preparation, as we are limited for time, I will be sending a lot of emails as the best way and quickest way to communicate with you.

By way of an update, today I sent the signed forms through to the organisers of the Paniyiri to confirm our participation.  The next Paniyiri meeting of all stall holders is the 27th of March.  We may not need a meeting next week depending on how much information we can get together over the weekend.  The equipment hire company has not been confirmed yet and the organiser told me that they are still getting quotes for their preferred supplier. 

This is a checklist of what we will need to have ready for the next meeting:

  • Prices for food items including an idea of how many we will need of chicken and lamb souvlakia, pita breads, tomatoes, lettuce, tzatziki, calamari, chips, oil, salt, pita ect… so that we are all not chasing up the same thing, does anyone have any contacts in fruit and veg, seafood (for calamari) and foodservice (for chips, oil).  George Kosmidis, could you please let us know a price on chicken and lamb souvlakia as we will need an idea of what we will be spending.  Taki Papagiannis, can you also let us know the price for Spanakopita. 
  • Disposable items we will need – napkins, plastic food gloves, cling wrap, alfoil, lunchwrap, chip cups, paper lunch bags, cutlery (plastic forks and teaspoons), garbage bags.  I can get pricing I just need to know quantities. 
  • We will also need a stocktake of how many knives we have, how many cutting boards, bowls ect…. 
  • We will also need an extra table for cutting vegies and making the wraps and decide on the best way to prep the vegies  (we have this I think at Tas’s house)
  • The state of the remaining BBQ’s, how many metal grills we need extra and weather or not the other BBQ’s need to be repaired to be usable.  Potentially, we may need to hire extra if the ones we have won’t suit 
  • Start thinking about how many volunteers you can each allocate and let me know in the next week or so specific names and phone numbers of people who will be helping so that I can start putting them into a roster.  Maybe we look at 2 or 3 hour slots so that the same people can help on both days if required
  • Start organising people to donate and help with sweets, including types of sweets, and packaging of the sweets as well as prices. 


I still don’t have a lot of information about what we are allowed to sell, what prices and our limitations on sign writing, price boards ect. 

More info to come over the next couple of days. 

You can reply to ALL and that way everyone will be kept in the loop.

Lets communicate and get organised early so that we can have enough time to make sure everything we need has been covered.  Please feel free to add to the list and let me know what other points we need to address before our next meeting.

Multicultural Program

Team,

An interesting read and a topic for discussion during the year.  I received a letter from the Qld Government, inviting us to participate in the multicultural program as “Macedonians”.  Attached is the essay written by them.  Worth a look and I would like to run through a couple of ideas that we can use during the year.
